Office Manager - Jim Thorpe Comanche County Hospital Rehab - Lawton

Position Summary:

Provides direct supervision of all office employees at Comanche County Memorial Hospital - Lawton, Oklahoma. Performs all functions related to pre registration of patients, scheduling patients, financial planning for patients, admitting and onsite registration of patients, creation and maintenance of medical records, management of collections of over the counter payments from patients, and management of charge entries for services provided at the clinic. Provides leadership to ensuring the proficiency and efficiency of all office operations in support of the outpatient rehabilitation facilities. Adheres to National Patient Safety Goals as appropriate based on the level of patient contact this position requires.

Essential Functions:

The Office Manager responsibilities include, but are not limited to, the following:

* Responsible for the orientation, training, competency and quality of work of the Rehab Service Coordinators.

* Evaluates performance, conducts performance appraisals, interviews, hires and provides personnel support for Rehab Service Coordinators.

* Responsible for ensuring proper staffing necessary to meet the admission goal and other quality objectives of the department.

* Problem solves issues related to admissions, registration, insurance authorizations and certifications for therapies, and financial planning for patients out of pocket expenses that are customer friendly to patients and physicians.

* Monitors office performance and provides reports to the Director of Rehab Services on electronic admitting system accuracy, monthly statistics, revenues and collections, audits of charge data entries, and physician referral information.

* Investigates and reports information on denials and bad debt and problem solves for improvements in the registration or billing processes to improve reimbursements. Corrects misinformation where determined needed.

* Conducts the pre registration process through coordination of information with physician offices for patient referrals, insurance and what service(s) are needed.

* Conducts pre registration process of contacting insurance and worker's comp case managers regarding insurance verification, worker's compensation determination, determination of insurance eligibility, coverage for services referred for, authorizations and certifications for visits per service and/ or coverage limitations, and determination of out of pocket expenses associated with services requested.

* Discusses insurance coverage, benefits and limitations and financial planning and payment options for out of pocket expenses with patients/families. Explains the billing processes and expectations for visits and payments.

* Admits patients into the electronic admitting systems accurately and schedules patients for first available visits for treatments authorized.

* Identifies new patient admits to office staff for successive preparations for receiving and establishing new patients and new medical records.

* Supports other office staff in check ins, scheduling, collections of payments, charge entries, medical record management, and fills voids in the staffing plan to support continuous daily patient encounters.

* Monitors the environment for equipment and supplies, cleanliness and the safety needs of the office and waiting rooms.

* Conducts the daily audit of collections, completes the daily deposit forms and daily deposits collections at the bank or to the hospital cashier. Forwards any insurance payments received at the facility to the Outpatient Rehab Billing Supervisor for appropriate actions.

* Maintains employee personnel files according to hospital standards and expectations set by policy.

* Reports to the Director of Rehab Services needs, issues and concerns regarding the office operations and collaboration processes with the professional staff.

* Assists in the preparation of confidential budgets, reports, data collection, data entry, data research and analysis, programs and distribution reports.

* Maintains human resources paperwork and files.

* Maintains changes, deletions and additions to policy manuals.

* Maintains monthly therapy schedule to ensure adequate coverage for all areas.

* 2 years of related college coursework required

* A college degree in a related field is preferred.

* 2 years of experience in a related field may substitute for college work

* 2 years of experience in a related field such as healthcare business, financial, insurance, medical or healthcare office is required.

* 1 year in a lead or supervisory experience preferred.

* Experience in insurance, registration, and/or billing in third party reimbursement is preferred.

* Computer skills include knowledge of ADT systems, spreadsheets required.

* Knowledge of medical terminology as evidenced INTEGRIS medical terminology test required.

* Must be able to communicate effectively in English (Verbal/Written).

* Must have knowledge of Microsoft Office.
